AI service booking that ends in the workshop diary.

The service phone rings most at 8 in the morning and again at 5, and the people who answer it are the same people who should be with customers at the counter. Salesteq takes the booking conversation on WhatsApp, the website and the phone menu, in the customer's language, and ends it with an appointment in the dealer management system, not a callback request.

How a booking conversation runs

  • 01The customer writes or calls: "there's a noise from the front when I brake", "the 40,000 km service", "the AC isn't cold". The agent maps that to the dealer's own service products and the labour time attached to them.
  • 02It finds the customer and the car in the DMS from the phone number, plate or VIN, after a one-time code has confirmed the number.
  • 03It reads live capacity per branch and advisor and offers real times, at the branch the customer prefers or the nearest one, inside that branch's opening hours.
  • 04It writes the appointment into the Keyloop or Autoline diary with branch, advisor, duration and services, and confirms by WhatsApp or SMS with a map link.
  • 05Later it moves or cancels the appointment on request, answers "is my car ready?" from the repair order, and hands over to a service advisor for complaints and warranty questions.

Three doors into the same booking

EntryWhat happens
WhatsAppThe customer writes to the dealer's own number; the whole booking runs in the chat. The main channel in production.
WebsiteThe chat widget on the brand site, or a booking page with phone verification, in Arabic and English, mobile first.
Phone menuAt Hyundai Saudi Arabia the caller chooses booking in the Genesys phone menu and receives the booking link on WhatsApp while still on the line; SMS fallback when WhatsApp does not deliver. On Webex Contact Center the voice agent can take the booking on the call itself.

What makes it a real booking

A booking is only worth something if the workshop can run it as planned. Salesteq books the time the job needs rather than a default slot, so two services add up and a major service is not squeezed into 30 minutes. It books only services the branch really offers, refuses cars of a brand the workshop does not serve, and respects the minimum lead time each branch sets.

Every booking is audited afterwards against the repair order in the DMS, branch by branch: wrong branch, missing advisor or a placeholder labour time are caught by us, not by the customer at the gate. The audit is how 29 service centres across three brands run on one agent without a service manager watching a dashboard.

Proof at BMW Saudi Arabia

About 8 in 10 BMW service bookings now come in online: 13,391 visits booked by customers themselves on WhatsApp from April to 5 October 2026, straight into the workshop diary, about 100 a day the service desk no longer takes by phone. Customers now book their own service appointments, as BMW's digitalisation manager in Saudi Arabia put it.

What a dealer needs to start

  • 01Keyloop or Autoline API access per branch; other dealer management systems are scoped per project.
  • 02The service menu with labour times and opening hours per branch.
  • 03A WhatsApp Business number, or the website, or both; the phone menu comes later if wanted.
  • 04A named team for handovers and one test car in the DMS for the first bookings.

Questions about AI service booking

Can an AI really book a workshop appointment, not just request one?+

Yes. Salesteq writes the appointment into the Keyloop or Autoline diary with branch, advisor, duration and services, and confirms it to the customer. 15,000+ such bookings since April 2026, live at BMW, Ford and Hyundai service in Saudi Arabia.

How does the agent know how long the job takes?+

It maps the customer's words to the dealer's own service products and books the labour time attached to them. Multi-service bookings add up instead of defaulting to a short slot.

What about customers who call?+

In a Genesys phone menu the caller chooses booking and receives the link on WhatsApp while still on the line, with SMS as fallback. On Webex Contact Center the voice agent takes the booking on the call. Both are live or integrated at Saudi dealer groups.

Can customers move or cancel?+

Yes, in the same conversation. The agent moves or cancels the real appointment in the DMS and confirms the change.

What if the workshop runs on another DMS?+

Service booking into the diary is live on Keyloop and Autoline. For other systems the agent captures the request with car, service and preferred time for the service team, and the DMS write is scoped per project.

Which languages?+

Arabic including Gulf dialects, English, German, French and any other language the customer writes in; the agent switches when the customer does.
